Budget season, contract renewals, and the worst of storm season all land inside the same eight weeks — and the boards that get ahead of them in August aren’t the ones scrambling in November. Here’s what belongs on your agenda this month.

03 On The Agenda

2027 budgets start now — not in October

For associations on a January fiscal year, a budget adopted under deadline is one nobody had time to question. Working backward from adoption, here’s the pace that keeps the conversation unhurried.

August

Pull year-to-date actuals and flag every line running over. Surprises found now are adjustments; found in November they’re special assessments.

September

Revisit the reserve study and confirm the funding plan still matches the component schedule — requirements vary by state, so ask your manager what yours expects. Then review the draft with your community manager, and bring the questions owners will ask; they’re the same ones every year.

Oct–Nov

Hold the budget adoption meeting and adopt the 2027 budget.

December

Send the budget notice to owners inside your governing-document window.

Don’t Forget

2027 service contracts follow the same clock. Landscaping, snow, trash, pool, and janitorial all need renewing or re-bidding before the budget is finalized — a contract you haven’t priced is a budget number you’re guessing at. Ask your manager which agreements auto-renew and when notice is due.

04 Storm Season

Storm season peaks August through October

The Mid-Atlantic rarely takes a direct hit — it takes the rain, the wind, and the trees. Five things worth confirming before the first named storm turns north.

  1. Tree canopy. Address deadwood and limbs over roofs, walkways, and parked cars now — arborists book solid the week after a storm.
  2. Drainage. Clear gutters, downspouts, storm drains, and inlets. A lot of what gets reported as flooding turns out to be a blocked inlet.
  3. Insurance review. Confirm your wind/hail deductible and the master-policy line between association and unit owner. Our QA team schedules these reviews with independent brokers at no cost.
  4. Loose objects. Pool furniture, grills, signage, construction materials, trash enclosures — write the pre-storm securing plan once and reuse it.
  5. Emergency contacts. Confirm the board’s after-hours chain and remind owners of the 24/7 line. Our callback standard is 20 minutes — that only works if people know the number.
05 Seasonal Close-Out

Close the pool properly. Book fall landscaping early.

Walk the pool with your operator before the last day — while the equipment is still running and the contractor is still on site. Photograph the deck, furniture, gates, and pump room, and log every repair for the winter scope; a punch list written in September is a fraction of the cost of one discovered in April.

Same logic outdoors: aeration, overseeding, fall fertilization, and leaf removal fill up fast, and the crews left in October are the ones nobody rebooked. Lock your scope now — and roll the pricing straight into the 2027 budget while you’re at it.
